POW!  Port Orange Workday Update

Heading into the July 4th celebrations we are excited to report that we are halfway through our Workday ERP implementation and are now on the home stretch towards go live in December 2019. The Port Orange project team along with our implementation partners Collaborative Solutions have worked extremely hard and have managed to stay on track with our timeline and produce the expected deliverables needed to keep moving forward. Kudos and a huge thank you to everyone on the City project team, Collaborative Solutions team, Workday team, and the rest of the City staff who continue to support the project.

Milestones Accomplished:

• Completed Plan and architect project stages

• Finalized Testing schedule

• Sign-off on Configuration workbooks 

• Test Scenarios drafted

• Test Strategy complete

• Knowledge Transfer started

• Training Plan started

What is changing?

Towards the end of December 2019, for most employees, the biggest impact will be that they will log into Workday to do their time entry, request an absence, and view/review their benefits; eliminating the need to log into three separate systems to perform those actions like we do today. Also in Workday employees will be able to view their pay stub, update emergency contact information, and complete performance evaluations. There will be many enhancements and improved capabilities for Financial functions as well including requisitions for purchase and financial reporting. Office 365, SharePoint, Lucity, Outlook, CivicClerk, and OnBase are not going away. 


City staff will be trained on the new Workday system as we want everyone to be successful and have the skills and knowledge needed for a successful Workday go live. A training plan is currently being developed and a training schedule will be shared once all the details are finalized. Training will start in November and continue through January 2020 and beyond. 

Coming up Next - TESTING! 

Starting on July 15th the project team will start testing our Workday system and those testing activities will continue through November 2019. As we progress through the various testing stages we will start to engage City staff beyond the project team to come and join applicable activities. Testing will take place in the POW! Conference Room (aka Parks & Rec conference room at the Dorothy L. Hukill City Center Annex pictured above) and the 2nd Floor Conference Room in City Hall. Testing is critically important and an incredible amount of effort will be set forth by the project team to get this done ready for the deployment of Workday.
