What is an ERP implementation?  

ERP implementation is essentially the automation and integration of a company's core business processes into one software to help them effectively conduct their daily activities online and achieve organizational goals and outcomes.

Implementing an ERP system is one of the most complex projects an organization can undertake and requires a high level of commitment and resources. Many City employees will be involved in the different project phases as we progress, possibly as a subject matter expert, project team member, testing the software, or as a participant in training.  It’s an all hands on deck effort! 

The new City of Port Orange ERP system will replace some of the current legacy software systems and core processes relating to Finance, Budget, HR/Payroll and Property.

Current Project Status

We are beginning the first part of our project which is to review our core business processes in our FInance and HR departments as preparation for drafting the RFP for software selection. We have a dedicated full-time project manager to help manage the contracts, and pull together all the parts and pieces required on this project. Also, to assist us with this complex task we have engaged the Government Finance Officers Association (GFOA) who will work with us on the following items relating to our ERP project:

  • Business process review and mapping
  • Comprehensive systems inventory
  • Gathering requirements and assist with the drafting of our RFP
  • Provide technical assistance
  • Contract negotiation services

Over the next several months we will be working on an overall estimated timeline and addition to the tasks outlined above we will also be conducting a land file clean up.
